1. Reservation Confirmation & Payment

To confirm and secure a reservation:

  • Clients must enter their card details via the confirmation email.

  • A deposit is charged to confirm the booking.

  • The remaining balance is automatically charged based on the type of service:

    • SUVs & Sedans: 2 days prior to trip

Important: Payment is required to assign a driver. If payment is not received on time, the reservation is automatically canceled.

2.1 Refund Processing

  • Refunds are subject to a 10% processing fee.

3. Trip Overtime Policies

3.1 Hourly Rentals

  • Tolerance: 15 minutes

  • Exceeding time incurs additional hour + admin/processing fees.

3.2 One-Way or Round Trips

  • Tolerance: 15–20 minutes

  • Exceeding time incurs per-minute fee + admin/processing fees.

4. Reservation Changes & Modifications

5. Payment Security & Booking System

  • Deposits processed via secure online EFTPOS system.

  • Advanced SSL encryption and PCI DSS compliance ensure data security.

  • Reservations managed through MOOVS for a seamless experience.

  • Payments processed via Stripe, PCI Level 1 certified.

  • Invoices, receipts, and documentation provided as needed.

Accepted Payment Methods:

  • Credit/Debit Cards, PayPal, Venmo, Apple Pay, Checks

  • Credit card registration required to confirm reservation.

6. Airport Pickup Instructions (DAL/DFW)

  • Provide: arrival day, flight number, full name, and phone number.

  • Operations: 24/7 monitoring of flights.

  • Driver contacts passenger after landing via text.

  • Pickup involves a 2–3 minute walk to the meeting point; vehicle arrival: 7–10 minutes.

  • Ensure readiness at pickup location to avoid delays.

Meet & Greet Service

  • Additional $20 fee

  • Driver meets passenger at baggage claim with a name sign.

  • Ideal for assistance with luggage.

Airport Transfer Grace Period

  • Domestic: 45 minutes

  • International: 60 minutes

  • Overtime charges apply after grace period.

  • Clients responsible for providing arrival time and desired airport drop-off time.

Off-route stops: Additional fees based on miles outside the destination.

7. Promo, Party & Group Policies

  • Trips must be booked by individuals 18+ years old.

  • Children under 18 require consent from a responsible adult.

  • Adult supervision (21+ years) required when minors are onboard.

  • Drivers may cancel trips if safety is compromised or if drugs/alcohol are present.

Liability:

  • Top Rides Transportation is not responsible for valuables left in vehicles.

  • Lost items returned if reported immediately; passenger responsibility for belongings.

  • Company not responsible for injuries or incidents during travel.

  • Overtime charges apply if the driver is available and pre-notified 1 hour in advance.

  • Zero tolerance for alcohol consumption by minors.

8. Surcharges & Fees

  • Included: Toll roads, parking, airport taxes

  • Additional charges:

    • Waiting time per minute

    • Route deviations at client’s request

  • Gratuity: Optional beyond any pre-included standard.

  • No-show Fee: Full trip charge after 30 minutes without contact (two call attempts made).
